A guide to processing voucher orders

How quickly can an order be turned around?

Everything in this day and age comes ‘on-demand’ and orders for vouchers are now expected to be processed on one day and issued the next. From the end-user’s perspective, this may appear to be a simple process, and therefore leaves no room for error, but ensuring that it all runs smoothly from start to finish is a challenge for the voucher provider.

Holding appropriate levels of stock for all the different vouchers and in all their different denominations, for example, is one way to ensure that orders do not get backlogged. Avoiding delays on voucher issue by effective stock control will ultimately mean that fewer customer service issues will arise and a faultless service can be delivered.

Another example of a way in which orders can be subject to delays will be when companies attempt to source vouchers for a number of different retailers. An agency should be able to offer a one-stop solution providing a variety of different vouchers, a ‘mixed-bag if you like, that can all be delivered together and at the same time. The alternative in this instance would be having to wait for several different suppliers to get back to you, increasing the chance of delayed turn around.
Understanding how vouchers are going to be delivered – security issues

Security issues are key. Vouchers are effectively cash and, as such, need to be transported under secure delivery systems. Recorded delivery offers no real guarantee that the vouchers will reach the intended recipient. Vouchers should always be sent special delivery, or with an equivalent service that will guarantee that they arrive safely into the hands of the intended recipient.

Tracking

Vouchers need to be handled in the same way as you would cash, so it is vital to ensure that a voucher supplier has sophisticated and secure stock tracking systems in place. This will allow the voucher trail to be tracked from start to finish as both a security measure and in case of any dispute that may occur along its route to its recipient. It is the voucher supplier’s challenge to provide a reliable and secure service, so tracking systems are imperative.

With all these measures in place you should be confident that your voucher scheme will run smoothly.
